6 time-saving hacks for busy entrepreneurs

When you’re growing your business – or even a side hustle with big dreams – finding ways to save time can be the difference between steady growth and none at all. We’ve found six ways to help you save time, be more organised and efficient, and still make bold business moves!

Streamline your time for your business to thrive

7 minute read

Growing a successful small business puts huge demands directly on your shoulders. You’re often the only one doing any of the work while still making sure all those other business must-haves are taken care of: scheduling, billing, marketing, social media updates and deliveries. You wear many hats to keep your customers happy!

When it all becomes too overwhelming, a helping hand can be ‘app’lied – there’s an app for everything! These six hacks can help you as a small business owner save time, get organised, and make the most out of every day with such consistency that ‘next level’ can become a reality sooner than you think.

1. Tools to schedule, automate and get your bookkeeping under control

As a one-person business, you may only dream of having a personal assistant – for now! The good news is that a virtual assistant is only a few clicks away. That’s good enough for now, right? Make the most of virtual assistant technology like Google Assistant or Alexa  to navigate and automate your tasks. You can also harness the power of Google Calendar to divide your day into manageable chunks. Automation tools can help you write emails, schedule social media posts and mine your data for insights. If you’re flying solo and need a little extra help with bookkeeping, make use of bookkeeping apps for things like invoice management, expense tracking and online payments.

2. PDFs without problems

Going paperless and keeping your documents professional and protected is a business must! By saving files to PDF, you can share sensitive information with clients in password protected documents. PDFs also allow you to share images and hyperlinks to display business concepts, ideas and strategies. They’re especially useful because they use less data, can compress large files to smaller sizes, and allow you to sign and share the most critical documents electronically. No printing out and scanning back is required!

3. Email templates, one send at a time

Not everyone is a whizz at writing business emails so if you find yourself writing the same email message repeatedly to different people, give email templates a try. Using templates for email pitches, follow-ups, appointment confirmations or business-related requests will minimise the need for repetitive typing and help ensure message and brand consistency.

4. Social media the smart way

A social media footprint for your business is as important as having something to ‘sell’ – but setting up that footprint can make you drag your heels, especially if it’s not your thing. If you can’t afford to retain a professional social media expert (and no, your teenage son/daughter isn’t it!) making regular posts will require investing in a good scheduling tool like Hootsuite or Buffer. This way, you can stay active and consistent on social media without sacrificing time from your workday. Plan and schedule your posts in advance to maintain a consistent online presence. It also helps to market your small business on digital platforms such as Yep! South Africa’s digital marketplace that provides a scalable solution to help grow your business and its local reach.

5. No design experience? No problem!

Speaking of social media, your small business needs to have a solid brand look and feel, especially if you’re posting on the more visual platforms like Facebook, Instagram and Pinterest. Luckily, there are a number of great, free tools to use to easily create striking images for social media. Canva and Microsoft Designer have a suite of design templates and graphics (many of them are free to use) that you can edit to create social media images, banners, posters, business cards and other marketing materials. But that’s not all! These apps can also help you create presentations and even videos. Don’t be intimidated by them – play around, get to know the functionality and you’ll soon be a design whizz!

6. Stay on top of that pesky admin

When you’re at the helm of your own business, especially in the early days, you tend to have to do everything and do it all at once. That’s impossible! So you’ll need to make a habit of scheduling and prioritising your time. By creating manageable systems to help you run your business processes, you can stay in focus and on top of those critical tasks that bring in the bucks.

Using these time-saving tips could make a real-life difference to how your small business runs. They’ll also help you gain some work-life balance and take the ‘ugh’ out of getting through your day. Who knows, ‘tycoon’ may actually be in your job description sooner than you think.
